Why hosts need a supply inventory

Most turnover problems are simple but expensive: too few towels, missing toilet paper, empty soap bottles, low coffee supplies, or no backup trash bags. A supply inventory template gives you a repeatable way to track what should be on hand before the next guest arrives.

For each item, track these fields:

Inventory tracker columns

Item: Toilet paper, dish soap, coffee pods, etc.

Category: Bathroom, kitchen, linens, cleaning, maintenance, amenity.

Current count: How many are available now.

Par level: The minimum quantity you want on hand.

Reorder point: The quantity that should trigger a restock.

Storage location: Owner closet, cabinet, garage shelf, cleaner supply bin.

Assigned owner: Host, cleaner, co-host, or maintenance contact.

How to set par levels

A par level is the normal amount you want available before a turnover. For example, a two-bathroom rental might need a higher toilet paper par level than a studio. Start with your typical usage per stay, then add a buffer for longer bookings and back-to-back turnovers.

Inventory mistakes to avoid

Do not track only what guests consume. Also track backup linens, cleaning products, replacement batteries, light bulbs, and maintenance basics. Those items are easy to forget until they create a guest issue.
